Section 1 - Name: Swing Dance Club at The Ohio State University
Section 2 - Purpose: To allow students of The Ohio State University and community members the opportunity to learn, practice, and participate in swing dancing.
Section 3 - Non-Discrimination Policy: This organization and its members shall not discriminate for or against any individual for reason of race, color, creed, religion, national origin, sex, age, sexual orientation, handicap, or veteran status.
Membership is open to all interested parties, whether they affiliated with The Ohio State University or not. However, only students of The Ohio State University are eligible to hold an office. Members pay an annual membership fee to join the organization, decided upon by the executive committee. Paid student members comprise the Voting Membership.
The Organization Leadership is comprised of a President, a Vice President of Events, a Vice President of Marketing and Membership, a Treasurer, a Secretary, and three Members-at-large. Elections for the Organization Leadership (except members-at-large) are held in the spring quarter of every year for a term of one year, commencing the Monday after spring commencement. Members-at-large are elected in the fall each year, for a term lasting the remainder of the academic year. The Organization Leadership is elected by, and from, the Voting Membership on an annual basis. A quorum of 1/3 of the Voting Membership must be present for a vote to occur. Officers shall be considered elected only after obtaining a simple majority vote from the quorum. If for a given vote no candidate obtains a simple majority, another vote between the top two candidates shall be conducted. In the event of a tie for second, all candidates with the given vote count shall be reconsidered for the run-off election. Should a member of the Organization Leadership become ineligible to perform his/her duties (either by the university's standards or as unanimously voted upon by the other members of the Executive Committee), a new member may be elected by a simple majority of the Voting Membership to serve until the regular annual elections, provided that a quorum of the Voting Membership is present at the special election.
Section 1 - President: The President is responsible for organizing general meetings, including executive board meetings and club lessons (location, instructors, etc). The President provides leadership and organization at general meetings. The President is responsible for fair delegation of tasks to the Organization Leadership and following up on delegated tasks. The President shall also provide a liaison between the Swing Dance Club at The Ohio State University and other dance organizations and the University. This includes large campus recruiting events such as the involvement fair and welcome week.
Section 2 - Vice President of Events: The Vice President of Events is responsible for planning and facilitating large events that the club hosts including dances, workshops, etc. After each special event, the Vice President of Events gives the other members of the Organization Leadership a report on that event. The Vice President of Events is responsible for fulfilling the duties of the President in his/her absence.
Section 3 - Vice President of Marketing and Membership: The Vice President of Marketing and Membership facilitates communication between members using means that may include but are not limited to electronic mail, posters, and flyers. The Vice President of Marketing and Membership is also responsible for advertising with regard to club meetings. The Vice President of Marketing and Membership answers all general inquiries about the club that are directed to the Executive Committee. The Vice President of Membership and the Organization Leadership determines the needs of the club and, along with the Organization Leadership, tries to cater to those needs. This Officer is also in charge of maintaining the registration table, helping to keep track of attendance and dues collection, in conjunction with the Treasurer. In absence of the President and Vice President of Events, the Vice President of Marketing and Membership is responsible for fulfilling the duties of the President.
Section 4 - Treasurer: The Treasurer will maintain a checking account in the names of the President, Treasurer, and Advisor. Checks drawn on said account must be signed by the Treasurer, with approval of the President and/or Advisor. The Treasurer shall be responsible for keeping accurate records of club funds, including income, expenditures, and collecting dues and waiver forms. The Treasurer is also responsible for itemization and verification of the budget, and will give a financial report at every Executive Committee meeting. The Treasurer shall veto any proposal that would result in a negative balance in the treasury. In the absence of the President, Vice President of Events, and Vice President of Marketing and Membership, and Secretary, the Treasurer is responsible for fulfilling the duties of the President.
Section 5 - Secretary: The Secretary will be responsible for meeting organization and minutes at the meetings. They will keep record of tasks assigned to the Organization Leadership and be responsible for recording the results of these assigned tasks. They will be responsible for possession of any media equipment belonging to the club (camera, etc.), as well as any club records of history and assets. The secretary will also be in charge of maintaining the Executive Officer Google Documents Account. Finally, they will be responsible for organizing travel arrangements for club outings (carpools, etc.).
Section 6 - Webmaster: It is the responsibility of the Webmaster to update the club website on a regular basis. They will update the website according to topics discussed at the Executive Committee meetings.
Section 7 - Members-at-large: The Members-at-large are responsible for miscellaneous delegated tasks to assist the Organization Leadership in meeting the goals and needs of the club. They will be responsible for outreach and communication between club members and the Organization Leadership, and will head any committees needed for successful operation of the club, as delegated by any member of the Organization Leadership.
The Advisor must be a full-time member of the University faculty, administrative professional staff in the University, or a co-advisor must be chosen who satisfies these above qualifications. Should the Advisor resign from his/her position with the Swing Dance Club at The Ohio State University, it is the duty of the Organization Leadership to select, by a unanimous vote of the Organization Leadership, and put in place a new advisor in a timely manner.
The Executive Committee is comprised of the Organization Leadership and an Advisor. The Executive Committee is responsible for the acquisition of equipment and facilities. The Executive Committee schedules a minimum of one meeting every term (excluding summer term). Meetings of the Executive Committee shall be open to all club members. The Executive Committee should carry out the decisions voted upon by club members of the Voting Membership present at the meetings. A quorum of 1/3 of the voting membership is required at an Executive Committee meeting in order to hold a vote.
One general meeting of the membership is required each academic term. The Swing Dance Club meets on a weekly basis with one meeting each week. An additional meeting for the executive committee must be called at least once per term.
Constitutional amendments must be proposed in a general meeting two weeks prior to the planned vote. The proposed amendment must pass with a 2/3 majority vote of the voting membership provided that a quorum of at least 1/3 of the voting membership is present. Any changes made to the constitution are immediate upon passing by the voting membership.
By-law Amendments must be proposed in a general meeting and voted upon in a subsequent general meeting. In order to amend the by-laws, a simple majority of the voting membership is required with a quorum of at least 1/3 voting membership. Any changes made to the constitution are immediate upon passing by the voting membership.
Upon a minimum vote by 2/3 of the total Voting Membership, the Swing Dance Club shall be dissolved. Three weeks notice must be given prior to such vote. In the event of dissolution, any excess funds belonging to the Swing Dance Club shall be paid against any outstanding debt of the Swing Dance Club, with any remainder being given to Ohio State as a guardian of such funds. Said remainder will be kept by Ohio State in trust for students of the Ohio State University so that they may, at any time, re-organize and re-establish the Swing Dance Club.
